If neither you nor the tenant provides written notice by the deadline outlined in the lease (typically 60 days), the lease may automatically renew or convert to a month-to-month agreement — depending on local laws and the lease terms. We’ll always reach out before this point to confirm your intentions, but if no action is taken, the lease may continue under its existing structure until further notice is given.
If a tenant wants to end the lease prematurely, we’ll notify you right away and help enforce the lease terms and see if terms to do so can be determined. Depending on the situation and your lease agreement, the tenant may be responsible for a lease-break fee or rent through the re-rental period. We’ll handle communication, documentation, and next steps.
We take all lease violations seriously. If you suspect an unauthorized pet or occupant, notify us immediately and provide any documentation/evidence you have to support. We’ll investigate, speak with the resident, and issue a formal lease violation if confirmed. Repeat issues may result in fines if outlined in the lease or further action.

If the tenant fails to resolve a violation after notice is given, we may move forward with formal enforcement, which could include lease termination or legal action. We’ll guide you through the options and coordinate with legal partners if required.
Once the tenant’s rent payment clears, we typically issue your owner payment within 1–3 business days. In some markets, such as Colorado, payments may take up to three additional business days to process before funds are distributed. Timing can also be affected by weekends, bank holidays, or late tenant payments. You can view your detailed monthly statements, including all income and expenses, anytime in your Homeowner Portal.
Tenants can pay rent securely through their Resident Portal, where they have the option to set up recurring payments via ACH or credit/debit card. In some markets, tenants may also pay with certified funds directly at their local office. These flexible options — including digital and in-person payments — help support consistent, on-time rent collection.
If rent isn’t received by the due date, we follow a clear and consistent process. Our team sends reminders and follows up with the resident through multiple channels. If the payment isn’t received within the lease grace period, we issue a formal notice in accordance with local laws. If non-payment continues, we’ll notify you and review next steps, including legal action if necessary. We’re here to support you every step of the way.
Late fees are outlined in the tenant’s lease agreement and are assessed when rent is not paid on time. These fees are retained by Renters Warehouse to help offset the costs of managing delinquent accounts and follow-up. If rent remains unpaid after notices are issued and grace periods pass, we may recommend filing for eviction based on local laws and the lease agreement. We’ll notify you before this step and guide you through the process. If eviction is pursued, we coordinate with local legal partners and manage the timeline on your behalf. Fees may apply, but we’ll always be transparent about next steps and associated costs.
Your Homeowner Portal gives you 24/7 access to your account. You can view current and past statements, rent payments, maintenance invoices, and year-end tax documents — all in one place. It’s designed to keep you informed and in control of your property’s financial performance, no matter where you are.
Partial payments are posted to your account just like full ones. However, our team will continue to follow up with the tenant until the full balance is received. We’ll notify you of the situation and keep detailed notes on any delays or arrangements made. It’s also important to note that management fees are assessed based on the rent due, not the amount received.
If a tenant’s payment is returned due to insufficient funds or a chargeback (common with ACH or card payments), we’ll reverse the deposit from your owner account and notify you right away. If the payment had already been disbursed to you before the reversal, you’ll be expected to return the funds to Renters Warehouse to correct the balance. Our team will follow up with the resident to resolve the issue and reattempt collection if appropriate. Your monthly statement will reflect any payment adjustments and ongoing updates.
Currently, rental income is disbursed as soon as tenant payments clear and funds are available. While we don’t offer scheduled or batched payouts at this time, you’ll receive prompt disbursements along with a clear monthly statement. If you’d like to consolidate reporting across multiple properties, let us know — we’re happy to help.
Owner payments are issued only after rent has been received and cleared. If the tenant hasn’t paid, we’re unable to release funds until the balance is resolved. That said, we stay on top of the situation, communicate with the tenant, and keep you updated on next steps throughout the process.
If you manage multiple properties, your rent proceeds may be disbursed in separate transactions. You’ll receive a clear monthly statement for each property, and everything can be tracked from your Homeowner Portal. At year-end, you’ll receive a 1099-MISC tax form (or 1099-NEC in some cases) if your rental income meets the IRS threshold. If you’d like a year-end cash flow statement summarizing your income and expenses, our team can generate one upon request. 1099 forms are typically issued by January 31 each year and reflect the gross rental income paid to you in the previous calendar year. This includes rent collected and disbursed, but does not account for any expenses or withholdings. Your year-end cash flow statement will break down those details to give you a full picture of your rental income and operating costs.

Once we receive the request, our team reviews the details and troubleshoots with the resident when possible. If a repair is needed, we will dispatch a vendor under the Not-to-Exceed (NTE) amount outlined in your Property Management Agreement. If the estimated cost exceeds your NTE, we’ll contact you for approval before moving forward. Not always. If the estimated cost of a repair falls under your Not-to-Exceed (NTE) amount, we’ll dispatch a vendor without needing prior approval — as outlined in your Property Management Agreement. For any repairs expected to exceed your NTE, we’ll reach out with an estimate and wait for your approval before moving forward. You’ll always be kept in the loop through status updates and invoicing.
The NTE is a preset guideline — typically $400 — used to help streamline repairs and set expectations with vendors. If a repair is estimated to fall under your NTE, we’ll dispatch a vendor right away. If the total cost is expected to exceed $400, we’ll pause the work and provide you with a detailed estimate for review and approval. You’re only billed for the actual cost of the repair, not the full NTE amount.
We only work with experienced, insured vendors who meet our high standards for quality, professionalism, and reliability. All vendors are required to carry general liability insurance and proper licensing, and many have worked with us for years. We routinely review vendor performance to ensure they’re responsive, respectful of your property, and delivering the level of service we expect on your behalf.
Our vendors agree to competitive pricing based on market standards, and all invoices are reviewed before being applied to your account. If anything looks out of the ordinary, we’ll reach out to discuss next steps before proceeding.

If an emergency occurs and we’re unable to reach you within two hours, we wiill move forward with dispatching a vendor to prevent serious property damage or resolve habitability issues — especially if required by local housing laws. You’ll always receive updates and a full invoice once the work is completed.
Emergency issues are problems that could cause significant damage or pose a safety risk. These typically include:
- No heat or AC (temperature-dependent and season-specific)
- No power or water (not due to utility company outages)
- Active flooding or sewer backup
- Fire or storm damage
- Anything that threatens the health, safety, or habitability of the home
If we don’t hear back from you within two hours in an emergency, we will move forward with dispatching a vendor to protect your property — especially if required by local housing laws. You’ll receive a full update and invoice afterward.
As the homeowner, you're generally responsible for maintaining the property's structure, systems (HVAC, plumbing, electrical), appliances you provide, and ensuring habitability. We’ll guide you on specific repairs as they come up and help ensure lease terms are followed.

Yes — we require before and after photos from our vendors for every job, which our team reviews internally before closing out the work order. In colder climates, winterization and faucet covers can prevent frozen pipes. Spring is a good time to inspect roofs, exterior paint, and landscaping. After the tenant vacates the property, we complete a detailed move-out inspection to document the home’s condition. This includes a full walkthrough with photos and written notes of the property’s interior and exterior. A copy of the inspection report is automatically provided to you upon completion. You can use this report to review the condition of the home and determine if any repairs or cleaning are needed before re-renting or applying security deposit deductions.
At move-out, Renters Warehouse will compare the current condition of the home to the documented move-in inspection to identify any changes. We’ll take into account general expectations around normal wear and tear based on the length of tenancy and document any concerns with photos and notes. We’ll share our findings with you to help assist in the process, but all final decisions — including what to charge and how much — are made solely by you as the homeowner.
Once the move-out inspection is complete, we’ll provide you with the inspection report and any relevant findings or recommendations based on what was documented. From there, it’s your responsibility as the homeowner to compile the list of charges and associated costs you’d like applied to the tenant’s deposit. Once you’ve submitted your decision, we’ll move forward with processing the disposition.
If we don’t receive a response within the timeline allowed by your state, we may be required to release the full deposit back to the tenant in order to remain compliant with state requirements.
If a tenant leaves behind personal belongings after vacating, we’ll notify you and advise on next steps based on your local and state regulations. In some areas, you may be required to store the items for a specific period and make reasonable efforts to contact the former resident. We’ll help you understand what’s required and coordinate accordingly to ensure the process is handled legally and efficiently.
Yes — a copy of the move-out inspection report, including photos and notes, is automatically sent to you upon completion of the inspection and again when security deposit processing begins. This documentation provides a clear record of the home’s condition and supports your review of any potential security deposit deductions.
If the cost of repairs or unpaid charges exceeds the tenant’s security deposit, you can choose to pursue the remaining balance. We’ll provide documentation and support for your records, and if requested, we can refer the balance to a third-party collections agency for recovery.
Security deposits must be processed in accordance with your state’s laws, which typically require return of the deposit and a final accounting within 14 to 60 days after move-out. We’ll handle the accounting, apply provided deductions, and ensure all timelines are met. If we do not receive a response or a full itemized list from you within the timeframe outlined, it may result in a full return of the security deposit to the tenant in order to remain compliant with state requirements.
If a tenant formally disputes the security deposit disposition, we will forward their written dispute to you for review. Because Renters Warehouse acts as a third-party property manager, we do not make the final decision regarding disputed charges — that authority remains with you as the homeowner. We ask that you provide a timely response so we can communicate your final decision to the tenant.
We conduct one standard property condition inspection per year, which is included as part of your management service. This inspection helps ensure the home is being properly maintained and gives us the opportunity to catch any potential issues early. You’ll receive a report with photos and notes summarizing the condition of the home.

After the visit, you’ll receive a report with notes and photos for your records.

Keep in mind that local laws typically require notice to tenants and specific appointment windows, but we’ll help facilitate the process if your presence is preferred.
Rental licensing requirements vary depending on your property’s location. Some cities and counties require an active rental license and periodic inspections to remain compliant. During onboarding, we’ll ask whether your property is subject to licensing, and we can help you understand the specific steps required in your area. If your city requires a rental license inspection, we’ll coordinate with the city and the tenant to schedule the appointment. If the property fails inspection, we’ll notify you, provide a copy of the inspection report, and outline next steps. To move forward with any repairs, you’ll need to submit a maintenance request through your Owner Portal or contact our team. Once the issues are addressed, we’ll schedule the re-inspection and ensure all compliance records are updated to avoid delays or penalties.
Yes — if your tenant is receiving housing assistance, we’ll coordinate all required HAP inspections directly with the housing authority. If the home fails inspection, we’ll notify you with a list of the required corrections and help coordinate repairs to bring the home into compliance. Once completed, we’ll schedule the re-inspection to ensure the unit passes. Please note that HAP payments may be delayed if the home is not approved.
If you receive any direct communication from the housing authority — such as inspection notices, violation letters, or documentation — please forward it to our office as soon as possible to ensure nothing is missed.
